How to check your invoices in KSeF (step by step)
Every invoice issued to your NIP lands in KSeF — including ones you don't expect. Since 1 February 2026 everyone receives invoices through KSeF. Here are three ways to see what is waiting for you.
Method 1: the KSeF 2.0 Taxpayer Application
The Ministry of Finance provides the free KSeF 2.0 Taxpayer Application (Aplikacja Podatnika KSeF 2.0) and the KSeF 2.0 mobile app.
- Log in to the KSeF 2.0 Taxpayer Application.
- Open the list of received (purchase) invoices.
- Narrow the list by date — you will see invoices other companies have issued to your NIP.
- Download an invoice as an XML file or as its visualisation.
The drawback: KSeF doesn't send notifications about new invoices, so you have to log in and check by hand.
Method 2: invoicing software or your accounting office
Popular invoicing and accounting programs download purchase invoices from KSeF. If you use such a program or an accounting office, your received invoices show up there — as long as the program or the office has the right permissions in KSeF.
Method 3: automatically in your own system
If your company works in its own system (an ERP or custom software), received invoices can be downloaded from KSeF automatically through the KSeF API and matched straight away to orders and payments.
- The system polls KSeF for new invoices at regular intervals — KSeF doesn't notify you itself.
- A single invoice query covers at most 100 days, so a longer history is fetched in several steps.
- Storing the KSeF number with every invoice pays off from 1 January 2027 — from then on the KSeF number must go into the transfer title.
What to do with a suspicious invoice
- Before you pay, ask the supplier about the invoice — calling a number you already know.
- Check the supplier and their bank account on the White List of VAT payers (Biała Lista).
- If you don't recognise the invoice, go through it with your accountant.
- If you suspect fraud, report it to the relevant authorities.
How often to check KSeF
At the latest before every batch of payments — and daily if you have many suppliers and high volumes. If checking by hand takes too long, it's worth automating in your software or in your own system.
